Spreadsheets are where most equipment lists begin, and re-typing them is usually the slowest part of setting up a maintenance system. This guide shows the alternative: give ChatGPT the file and let it create the records for you.

A4B exposes your asset data to AI assistants through the Model Context Protocol (MCP). Once ChatGPT is connected to your workspace and granted write access, it can create assets directly — with no export, no column mapping and no copy-paste step in between.

Assets created this way are ordinary A4B records. Each one receives an inventory number, belongs to a workspace, can be scheduled for maintenance, and appears in your activity history like any other asset. Access is authorised per organisation, and every action the assistant takes is recorded in the audit trail.

What you need

  • An A4B account with at least one Workspace
  • ChatGPT connected to A4B
  • Write access granted to the connection
  • A CSV file containing your asset data
